.These Terms & Conditions outline the agreement relating to bookings, performances, and services provided by Looch.

The intention of this document is to ensure clarity, professionalism, and a smooth working relationship for both client and performer.

1. Enquiries & Date Holds

Event dates may be discussed and provisionally held pending confirmation.

Unless otherwise agreed in writing, provisional holds may be released after 7 days without notice.

A booking is not considered confirmed until written confirmation has been received from the client and the booking has been formally accepted by Looch.

Looch reserves the right to decline or release tentative bookings where communication, onboarding requirements, or confirmation progress has materially stalled.

2. Booking Confirmation

For most corporate bookings, confirmation via email or written agreement is sufficient to secure the booking.

Where required, purchase orders, supplier onboarding documentation, or procurement processes should be completed as promptly as possible.

For selected private bookings or events at Looch’s discretion, a non-refundable booking fee may be required in order to secure the date.

Once confirmed, the agreed performance date and time will be reserved exclusively for the client.

3. Fees & Payment Terms

Unless otherwise agreed in writing, invoices are payable no later than 30 days prior to the event date.

Payment should be made via BACS / bank transfer using the account details provided on the invoice.

Any quotations issued are valid for 28 days unless otherwise stated.

Looch understands that some larger organisations and agencies operate under fixed internal payment schedules. In such cases, reasonable flexibility may be applied where clear communication has been maintained.

Late payment may result in cancellation of the booking, withholding of services, or release of the reserved performance date where appropriate.

4. Cancellations & Postponements

Due to the nature of live event work and the difficulty in rebooking dates at short notice, the following cancellation terms apply:

  • Cancellation within 6 months of the event date: 25% of the remaining balance becomes payable.

  • Cancellation within 3 months of the event date: 50% of the remaining balance becomes payable.

  • Cancellation within 1 month of the event date: 75% of the remaining balance becomes payable.

  • Cancellation within 14 days of the event date: 100% of the full booking fee becomes payable.

Any booking fees or deposits paid are non-refundable.

Where additional payments have already been made beyond any booking fee, monies may be retained where costs or commitments directly relating to the booking have already been incurred.

Requests to postpone or reschedule an event are subject to availability and may incur additional fees.

If an alternative date cannot be accommodated, the booking will be treated as a cancellation and the above terms will apply.

All cancellations must be confirmed directly in writing via email.

5. Event Changes & Scope

Performance timings, format, location requirements, and agreed services will be discussed in advance.

Any material changes to agreed performance duration, venue location, running order, event format, audience size, or responsibilities may incur additional fees.

Looch will make every reasonable effort to accommodate changes where possible, however this cannot always be guaranteed.

Final event details should ideally be confirmed no later than 14 days prior to the event date.

6. Performance Environment & Client Responsibilities

The client agrees to provide a safe, suitable, and professional working environment for the performance.

Where appropriate, the client should ensure that a suitable event contact or representative is available during the booking period to assist with logistics, timings, introductions, and venue coordination.

The client is responsible for ensuring that guests, attendees, venue staff, and contractors conduct themselves in a respectful and appropriate manner.

Looch reserves the right to refuse performance to any individual or group whose behaviour is considered abusive, threatening, unsafe, excessively intoxicated, or likely to negatively impact the performance environment.

Looch also reserves the right to modify, pause, or suspend performances where venue conditions, excessive noise, unsafe conditions, crowd behaviour, or environmental factors materially impact the quality or safety of the performance.

For longer engagements or multi-performance bookings, reasonable access to drinking water and refreshments is appreciated.

7. Travel & Accommodation

Where applicable, travel, accommodation, parking, and related expenses will either be included within the agreed quotation or charged separately as outlined in writing.

The client is responsible for providing accurate venue details and any relevant access information.

Where parking is unavailable on-site, suitable nearby parking arrangements should be communicated in advance.

For events requiring significant travel distance, early start times, or late finishes, overnight accommodation may be required.

8. Recording & Media

Guests are welcome to take casual photographs during performances provided they do not interfere with the experience or obstruct audience interaction.

Video recording of performances is not permitted without prior written agreement.

Where official photographers or videographers are present, cooperation is welcomed to ensure both the performance and event coverage operate smoothly.

Looch reserves the right to request that photography or recording cease if it is deemed disruptive, intrusive, or detrimental to the performance.

Unless otherwise agreed in writing, Looch may use non-confidential photographs or footage from public performances for promotional or educational purposes.

From time to time, Looch or an authorised representative may capture discreet photographs or video footage during an event for marketing, social media, website, or educational use.

If the client, venue, or organisation has any restrictions relating to photography, filming, confidentiality, guest privacy, or media usage, this should be communicated prior to the event date wherever reasonably possible.

Looch will always make reasonable efforts to respect venue policies, confidentiality requirements, and any previously agreed filming restrictions.

9. Failure to Perform & Force Majeure

In the extremely unlikely event that Looch is unable to attend due to illness, accident, emergency, or circumstances beyond reasonable control, every reasonable effort will be made to arrange a suitable replacement performer of comparable professional standard.

If a replacement performer cannot be secured, liability shall be limited solely to the return of any monies paid relating directly to the booking.

No further liability shall be accepted for any indirect or consequential losses.

Looch shall not be held liable for failure to perform due to circumstances beyond reasonable control including, but not limited to, severe weather, acts of God, government restrictions, venue closure, transport disruption, industrial action, public emergencies, technical failures, or other force majeure events.

10. Liability & Damage

The client accepts responsibility for any loss, theft, or damage caused to performance equipment, props, or associated materials by guests, attendees, venue staff, or contractors during the event.

Any repair or replacement costs arising from deliberate misuse, negligence, or reckless behaviour may be charged accordingly.

11. General

Looch reserves the right to update these Terms & Conditions at any time without prior notice. The version in effect at the time of booking confirmation shall apply.

Acceptance of a quotation, written confirmation of the booking, payment of an invoice, or payment of any booking fee shall be deemed acceptance of these Terms & Conditions.

If any provision within these Terms & Conditions is found to be unenforceable, the remaining provisions shall remain fully valid and enforceable.
